Reports

Submitting a Report

  • Print the GSC Report Template (.pdf file) before attending committee meetings and use it as a guideline to keep a record document of each meeting. The documents you create will be used for your report.
  • A report is due the last General Assembly meeting of each semester or at the end of the committee term, whichever comes first.  Use the Committee Report Form on the Forms page.
  • The report should include minutes of each committee meeting attended with necessary information.
  • The report should be submitted to the Vice President of University Affairs. The report must be saved as a word file with the name of the committee, e.g. "Commencement Committee Fall08.doc" or "Commencement Committee Spring09.doc". Once ready, the repost must be sent via email to gsc@tamu.edu  - please use as subject line "Committee Report". 

Guidelines for Writing a Report

The report must include information on the items listed below. Special conditions apply to committees dealing with confidential information (i.e. Disciplinary Panels, Appeal Panels, etc.).

  • SUMMARY: Summarize the topics/issues discussed at each meeting. For confidential information, only summarize the role played as a committee member.
  • DETAILED INFORMATION: List the topics/issues discussed at each meeting. For confidential information, only include the amount of time dedicated.
  • ACTIONS ITEMS COMPLETED: List any resolutions, recommendations, or decisions made on topics/issues discussed at each meeting. For confidential information, only include remarks on the importance (or not) of having a graduate student on this committee.
  • ACTION ITMES PENDING/IN PROGRESS: List topics/issues that will be or that need to be discussed in following meetings. For confidential information, only report lessons learned about the way the system works.
  • NOTES: Any information you may want to add.


NOTE: At the end of the semester, please add a narrative discussing the following two items:

  • ANNOUNCEMENTS: Any information or recommendations discussed on this committee that you feel are important for GSC reps and/or graduate students to know.
  • RECOMMENDATION: The GSC lacks records on efforts made by reps on committees. We would like to address this issue and are asking you to list any pending action items and/or to document any success/failure stories on this committee.


NOTE: For confidential information, only discuss the relevance of this committee to the GSC and/or the graduate student body.
